There are a number of reasons someone may choose to undertake a Data Centre Migration project: Power/space constraints; Service issues; minimising cost and ensuring scalability. We will take ownership of major workstreams, including the physical move, the design of destination infrastructure, and the project management overlaying the project. We use specialist tools and packing materials, and operate a fleet of specialist computer-spec vehicles operated by a team of experienced IT-Engineers.     Our Process

    In this stage, we get to know your challenges and objectives in detail. We will work with you to define the scope of work, and the different work-streams and accountabilities Sunspeed will manage for you.

    We will engage in a process of refinement, discussing each project element in detail. This allows us to issue a Provisional Proposal that provides an estimated cost from which to estimate final project budget.

    Following on from this, we will also perform a Site Visit, to get eyes on your environment and validate any assumptions made. This enables a Final Proposal against which a PO may be raised and the project kicked into action!

    Project Management: We will attend a Project kick-off call and create the Project Initiation document, which specifies the approach and outlines the project plan.

    Audit: We will conduct a thorough audit of your current environment, capturing hardware and connectivity data. This information will be compiled into our bespoke Infrastructure Planner tool which will be used to design the destination infrastructure.

    RAMS & Site Survey: We will also conduct site surveys of both source and destination sites, and produce Risk Assessment and Method Statements (RAMS) to ensure the physical movement of the devices is safe and efficient.

    We will own the design of:

    • Detailed Migration Plan including: timings, Equipment Prioritisation, Logistical constraints, 3rd Party Co-ordination, escalation routes, risk mitigation.
    • Infrastructure Plan and equipment intention; this defines how the new environment will look, any existing equipment to be decommissioned and any new equipment to be introduced.
    • At your request, we can also own: Rack Capacity Planning, Containment Solutions, Rack/Room Layout and Structured Cabling Design.

    To ensure seamless on-the-day activities, we will undertake a series of preparation activities:

    • Labelling of cables and equipment for on-the-day reference.
    • Delivery of a Pre-cable, an exercise involving the dressing of cables ahead of equipment installation to reduce time needed to reconnect on-the day, consequently reducing downtime. This also allows for advanced troubleshooting.
    • Co-ordination of third parties and security/access arrangement.
    • Preparation of a rollback plan if requested.

    The main workstream, delivery involves the on-the-day Relocation. This process will follow the migration plan created by our Project Delivery Manager, and will include the following deliverables:

    • Following shutdown, disconnection of all remaining power/PRO/Fibre and Copper cabling.
    • De/racking of equipment and placing into secure flight-cases.
    • Secure Transport.
    • Re-racking of equipment.
    • Final connection of pre-installed cables.
    • Installation of specialist/PRO cables.
    • Handover support.

    Once the source site has been successfully migrated, we will also own the Asset Disposal of any redundant equipment.

    We are able to offer Certified Data Destruction for any data-bearing assets. Providing on or off-site shred of HDD/SSDs down to 2mm.

    We can also perform WEEE Licensed recycling of equipment.

    If you are seeking to maximise value, we can also perform equipment re-sales with 50% revenue return.

    Project Coordination – No matter the size or scope, a dedicated project coordinator is assigned to all projects. As the main point of contact whilst a project is in delivery, the project coordinator is responsible for coordinating site surveys, scheduling, briefing the engineering teams and organising the logistics.

    WILL OUR EQUIPMENT BE INSURED?

    As standard, Sunspeed offers Freight Liability Insurance based on the RHA 2009 Terms & Conditions at GBP 1,300 per tonne. If increased cover is required, Sunspeed is able to provide All Risk Goods in Transit Insurance. Our Goods in Transit Insurance is one of the most comprehensive policies on the market. We are able to provide Goods in Transit insurance cover with no single item limits.

    CAN I JUST USE SUNSPEED FOR SECURE TRANSPORT?

    If you just need us to relocate equipment from A to B safely then no problem. If you would like us to do the de/re racking then that’s fine too.

    Equally, if you’d like us to run the whole project from ‘end to end’ then we are here to help. We can complete hardware and cable trace audits, create the rack plan and patching schedule design, supply cables and manage the installation of the all the cabling around your relocation. Often for large projects we deliver a ‘pre-cable’ to complete as much of the cabling ahead of the relocation as possible. This allows for advanced troubleshooting but also enables an efficient relocation process on the day of your IT move.

    • All our vehicles are hard sided, with sealed cargo areas.
    • Cargo areas are locked by additional deadlocks.
    • All vehicles have GPS tracking, with client log in via portal.
