A UK mortgage firm required the relocation of IT equipment between two offices in Newcastle as part of a workforce consolidation strategy. With a reduced office footprint and a growing hybrid working model, the firm needed a relocation plan that was secure, efficient, and minimised disruption to ongoing operations.

The CHALLENGE
The firm was consolidating office space to support headcount reductions while enabling flexible remote working. This required the secure transfer of 70 workstations, including 140 monitors, 70 thin clients, and 70 keyboard-and-mouse sets.
The relocation had to be completed over a single weekend to avoid disrupting staff operations, with strict requirements to ensure that all systems were fully operational at the new office from day one. Coordinating travel, setup, and QA across multiple technicians under a tight schedule added further logistical complexity.

The relocation was planned to be completed over a single weekend, with a detailed runbook created to ensure all tasks were scheduled effectively to avoid downtime.
Day 1: Engineers travelled to the original office, disconnected, asset-tagged and packed all workstations, and transported the equipment to the new site.
Day 2: Unpacking and re-installation at destination site, with desktop and cabling/cable management set-up . Engineers remained on site performing QA and completing sign-off.
Day 3: Engineers returned to the office to provide floor-walk assistance and validate and troubleshoot as offices returned to operations.
Throughout the process, strict handling protocols were followed to protect IT equipment and maintain data security, ensuring that the firm’s sensitive systems and information were never compromised.
OUTCOMES
The relocation was completed successfully and on schedule. All 70 workstations were installed, configured, and operational, allowing staff to resume work immediately without disruption.
The move supported the firm’s hybrid working strategy by ensuring that the office could accommodate fewer staff while maintaining full IT functionality for those present.
